Business Operations Associate

Job Description

Partners Capital is seeking a Business Operations Associate to join our Boston Office.

The Business Operations Associate will work with the Boston-based Business Operations Team to handle many day-to-day aspects of office administration, including but not limited to answering the telephone, greeting guests (including clients and managers), maintaining an organized office (including all common areas and conference rooms), ordering supplies, and filing documents. In addition, this individual will help to support executive members of the Boston Office.

Position Responsibilities

General Office Management:

  • Manage the front desk and reception area. Answer the main phone line, greet guests and coordinate incoming and outgoing mail.
  • Manage calendars for the conference rooms and resolve any scheduling conflicts.
  • Prepare conference rooms and logistics for external and internal meetings. This responsibility includes managing catering, ensuring meeting rooms are “client ready” and preparing any audio-visual needs, including sending calendar invites with dial-in details for virtual meetings as needed.
  • Coordinate with the building’s security to ensure all guests are registered.
  • Ensure the office common areas are neat and professional looking. This responsibility includes running and emptying the dishwasher, cleaning out and restocking the refrigerators, cleaning the microwave oven and keeping the supply area organized and clean.
  • Order groceries and office supplies and pack away orders after they are received.
  • Assist the People Team with preparation for new team members such as coordinating IT equipment, preparing training schedules, scheduling badge appointments and other onboarding tasks as requested.
  • Assist with the US bi-weekly invoicing process. Work with the Business Operations Team to monitor and prepare incoming invoices for payment.
  • Assist team members with administrative tasks, such as booking conference rooms and binding documents for meetings with clients, prospective clients and other external individuals.

Partner and Managing Director Support:

  • Monitor inbound phone calls and escalate important and urgent items where an action or response is required by the Partner/Managing Director(s).
  • Prepare and submit monthly expense reports.
  • Assist with scheduling meetings, booking conference rooms and resolving calendar conflicts.
  • Arrange travel plans and organize meeting logistics and ensure the Partner/Managing Director(s) are prepared.

Qualifications

  • Very strong organizational and administrative skills in a fast-paced environment.
  • Ability to manage multiple tasks at once.
  • Excellent attention to detail.
  • High degree of professionalism and interpersonal skills.
  • High proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook).
  • Comfortable working with databases and entering data with a high degree of accuracy.
  • Strong customer service skills including professional telephone etiquette.
  • Team player who is willing to do whatever it takes to contribute to the success of the business.
  • Bachelor’s Degree
  • Relevant experience is preferred but not required.
