Position Description

The Client Service Senior Associate located in Boston will be responsible for coordinating the operations for a range of clients, serve as a primary point of contact to the Investment Teams managing client portfolios, and help to build our operational processes and procedures. The candidate will be supported by one or more junior team members in their range of responsibilities.

The candidate will be an integral member of the global Operations team and will report directly to a Principal in the Client Service Team. The candidate should be hardworking and must be able to interact with colleagues and third parties, prioritizing and completing multiple tasks and meeting deadlines. The candidate should have oversight experience in a similar capacity and must be willing to dive-in to support the team on a daily basis. This role is client facing with both internal and external stakeholders, and thus a strong candidate will be comfortable interacting with clients and counterparties in a professional manner.

Oversight and Team Development

  • Manage and develop junior team members who will support the candidate in their range of responsibilities on client relationships.
  • Assist with time management, prioritization, and communication skills.
  • Provide coaching and mentoring to junior team members. Draft and deliver mid-year and end of year performance reviews for all assigned mentees.
  • Act as a primary escalation point for client teams on operational inquiries and day-to-day client responsibilities.
  • Develop a deep understanding of processes and middle and back-office portfolio management systems. management systems.

Client Service Management

  • Drive excellence in operations and client service across a range of Institutional and Private client relationships
  • Manage operations communication externally with clients and their counterparties. Investigate and work with internal teams to drive solutions and make recommendations where appropriate, and effectively communicate responses to all impacted stakeholders.
  • Oversee junior team members by ensuring all portfolio actions are executed in a timely and accurate manner
  • Sign off on monthly “flash” reports, quarterly performance statements, and invoices for accuracy
  • Review and sign off on the accuracy of execution instructions and alternative investment documentation prepared by junior team members. Prepare execution instructions where needed.
  • Coordinate execution of approved client brokerage transactions and wire transfers (e.g. capital calls)
  • Collaborate closely with the Investment Team and other internal stakeholders in managing client relationships (e.g. Compliance, Legal, Pooled Vehicles)
  • Attend periodic client team planning meetings and opine from an operations perspective

Project and Strategic Initiatives

  • Assess and make recommendations to improve client service processes and procedures
  • Collaborate across the team and Firm to implement process improvement initiatives
  • Support the management team with strategic and tactical client service system development projects
  • Responsible for ensuring all information security processes, policies and procedures are adhered to and any issues or concerns are raised with the Cyber Security team
  • Ensure full compliance with all local data protection regulations and privacy controls, and any related issues are raised via the appropriate channels

Key responsibilities will be regularly assessed and are subject to change from time to time based on the needs of the business. The individual may be required to work overtime as needed.

Qualifications / Attributes

The ideal candidate will have strong attention to detail, problem-solving skills, and ability to multi-task in a fast-paced environment.

  • Prior experience (4-5+ years). Investment operations experience is preferred
  • Prior management or supervisory experience is a plus
  • Ability to multi-task and prioritize daily workloads while working efficiently and accurately
  • Articulate self-starter with strong analytical and organizational skills
  • Strong attention to detail
  • High proficiency in Microsoft Office (Excel, PowerPoint, Word, Outlook)
  • Excellent leadership, interpersonal, problem solving and communication skills
  • High degree of integrity and professionalism with strong interpersonal and communication skills
  • Team player who is willing to do whatever it takes to contribute to the success of the business
